Courier Charges Explained: What Affects the Price (India & Abroad)

When someone asks "what's the rate to Delhi or Mumbai?", the honest answer is: it depends on a handful of things. None of them are complicated once you see how they fit together.

Weight: actual vs volumetric

Every carrier charges on whichever is higher — the actual weight on the scale, or the volumetric (dimensional) weight. Volumetric weight exists because a big, light box takes up space in a van or aircraft that a heavy small box doesn't.

The standard formula most carriers use is:

Volumetric weight (kg) = (Length cm × Width cm × Height cm) / 5000

A worked example. Say a hosiery exporter packs a carton of knitwear that measures 60 × 40 × 40 cm and weighs 7 kg on the scale.

• Volumetric: (60 × 40 × 40) / 5000 = 96000 / 5000 = 19.2 kg
• Actual: 7 kg

You'll be billed on 19.2 kg, not 7 kg, because the carton is light but bulky. This catches a lot of garment and packaging shippers off guard. The fix is simple — pack tight, avoid oversized boxes, and don't leave half-empty cartons.

Some surface/road operators use a /4750 or /6000 divisor instead of /5000. Always confirm which divisor your carrier applies before you assume a rate.

Distance and zones

Carriers don't price city-by-city; they group destinations into zones. A near-zone lane (for example Delhi or Chandigarh from North India) sits in a lower band. Mumbai, Bengaluru and Kolkata fall into farther zones, and the North-East, J&K and island destinations are usually a separate, higher band. The farther the zone, the higher the per-kg rate.

Whether your parcel starts in Ludhiana, another Punjab city, or elsewhere in India, the same zone logic applies once we know origin and destination.

Express vs Air vs Surface (SFC)

The mode you choose changes the price more than almost anything else. Rough idea of how they compare for the same parcel:

As a very rough feel, a small 1–2 kg parcel to Delhi by express might land somewhere in the low hundreds of rupees, while the same parcel by surface to Mumbai could be cheaper per kg but slower. Fuel surcharge and GST

Two line items get added on top of the base freight:

• Fuel surcharge — a percentage that moves with diesel and ATF prices. It's revised periodically, so the same lane can cost slightly more or less month to month.
• GST — currently 18% on courier and freight services in India, charged on the total. If you have a GSTIN, keep your invoices; the input credit is claimable.

Other small adds you might see: ODA (out-of-delivery-area) charges for remote pin codes, handling for fragile or oversized items, and FOV (insurance) if you declare value.

International: duties and taxes

For parcels going abroad, the freight is only part of the cost. The destination country charges its own import duty and taxes, usually paid by the receiver unless you opt for DDP (delivery duty paid). A commercial invoice with correct HSN codes and declared value drives how that duty is calculated — under-declaring causes customs holds, not savings.
